Handling Participant Questions and Concerns
Answers to the questions participants will ask you — ready to copy and share
When you run a campaign, your participants may reach out with questions before, during, or after their session. Here are the most common ones, with suggested responses you can copy and customize.
"What is this? I didn't sign up for anything."
It's an AI-facilitated voice conversation — not a survey, not a test, and not a robocall. You'll speak with an AI interviewer that listens to your perspective on [topic] and asks follow-up questions. There are no right or wrong answers, and your invitation email will tell you how long to set aside. [Your organization] set it up to gather genuine input from people like you, and your participation is voluntary.
"Is my response anonymous?"
Your identity is pseudonymized — your name is replaced with a random code before anyone sees your responses. Analysts see insights and patterns, not who said what. Your name and contact details are stored separately from your responses, and your individual answers are not visible to your manager or anyone else by name.
"How long does it take?"
Session length varies — the invitation email will tell you how long to expect. There's no time pressure; the AI will wait for you to speak. Plan to complete the session in one sitting, as you can't return to it once it ends.
"Do I have to do this?"
Participation is voluntary. [If it's strongly encouraged or expected, note that here.] We'd genuinely appreciate your input, but there's no requirement.
"Will my manager / boss / HR see what I said?"
Your responses are pseudonymized — they're linked to a random code, not your name. Managers and HR see aggregated insights for the group, not individual statements or who said what.
"What if I want to stop partway through?"
You can stop at any time — just close the browser tab or click End Session. There's no penalty, and your responses up to that point are still captured and may count toward the campaign insights. That said, once a session ends it cannot be resumed, so it's worth making sure you have uninterrupted time before you begin.
"My invitation link doesn't work."
Try opening the link in a different browser — Signal Sessions work in Chrome, Firefox, Safari, or Edge. If it still doesn't work, let me know and I can resend a fresh invitation. Links also expire after a set period, so if you've had it a while, a new one may be needed.
"The AI can't hear me / my microphone isn't working."
Check that your browser has microphone permission — most browsers will ask when you first join. If you dismissed the prompt, you can re-enable it from the small microphone icon in your browser's address bar, or in your browser settings under Privacy → Microphone, then refresh the page. On a Mac, you may also need to allow microphone access in System Settings → Privacy & Security → Microphone. If it still doesn't work, try a different browser or device.
"I'm worried about saying something wrong or being judged."
There are no right or wrong answers. The AI isn't evaluating your performance — it's capturing your perspective. The goal is to understand how people experience [topic], and honest responses are what make the data useful.
Tips for managing inbound questions at scale
- Designate a point of contact participants can reach out to, and include that person's name in the invitation email.
- Set up a brief FAQ with the answers above so participants can find what they need before reaching out.
- For high-volume campaigns: consider hosting a 10-minute "what to expect" session before invitations go out.
